Return and Refund Policy

Return eligibility, refund handling, and process expectations for orders fulfilled through Nexsyflow.

At NexsyFlow, we are committed to providing dependable service and high-quality industrial products. This Return & Refund Policy explains when returns may be accepted, how refund requests are handled, and how warranty-related cases are processed.

1. General Principle

Because many of our products are industrial, technical, special-order, or sourced on demand, not all items are eligible for return simply because they are no longer needed. Return and refund eligibility depends on the reason for the request, the condition of the item, and whether the item is standard-stock, custom, special-order, or final-sale.

2. Return Eligibility

Return requests must be submitted within 30 days of delivery and may be accepted only in the following circumstances:

  • the item is defective or not functioning as intended under normal use
  • the item was damaged during transit
  • the wrong item was shipped by us
  • the return is otherwise expressly approved by NexsyFlow in writing

To be eligible for a return:

  • the item must be unused, in its original condition, and in its original packaging, unless the issue is a confirmed defect or shipping damage
  • proof of purchase is required, such as the order number, invoice, or other order confirmation
  • sufficient supporting evidence may be required, including photos, videos, serial number labels, packaging images, and a description of the issue

Returns will not be accepted for damage or failure caused by:

  • misuse
  • abuse
  • improper storage
  • improper installation
  • unauthorized modification or repair
  • use outside intended operating conditions
  • normal wear and tear

3. Non-Returnable Items

Unless defective, damaged in transit, incorrectly shipped, or otherwise required by applicable law, the following items are generally non-returnable:

  • custom-made products
  • special-order products
  • products sourced specifically upon customer request
  • items marked Final Sale
  • used items not returned because of a confirmed defect or shipping damage
  • items missing original packaging, accessories, manuals, labels, or components, where those omissions materially affect resale or inspection

4. How to Request a Return or Refund

To request a return or refund, please contact us at [hi@nexsyflow.com] within 30 days of delivery and provide:

  • your order number or invoice number
  • the product name and, if applicable, model or part number
  • the reason for the request
  • clear photos or videos showing the issue, if applicable
  • photos of the outer packaging and shipping label, if the issue involves shipping damage or incorrect delivery

We may ask for additional information to evaluate the request.

If your request is approved, we will provide return instructions.
Do not return any item without our prior approval and return instructions. Unauthorized returns may be refused, delayed, or deemed ineligible for refund.

5. Return Authorization and Inspection

Approved returns are subject to inspection after receipt.

We reserve the right to:

  • verify the reported defect, damage, or shipping error
  • test the product
  • confirm serial numbers, labels, and condition
  • reject returns that do not match the approved request or do not meet eligibility requirements

If a returned item is found not to qualify for return, refund, replacement, or warranty service, we may reject the claim and, where applicable, return the item to you at your expense.

6. Refunds

If a refund is approved:

  • it will be issued to the original payment method unless otherwise required by law or agreed by us
  • refunds are typically processed within 5–10 business days after the returned item is received and inspected, or after we otherwise confirm refund eligibility
  • actual posting time may vary depending on your bank, card issuer, or payment provider

Unless the return is due to our error, a confirmed defect, or verified shipping damage:

  • original shipping charges are generally non-refundable
  • return shipping costs may be deducted from the refund, where applicable
  • other non-refundable fees already incurred may also be deducted where permitted and where clearly disclosed

7. Replacements and Repair

Where appropriate, and at NexsyFlow’s discretion, we may offer one of the following remedies instead of a refund:

  • replacement
  • repair
  • refund
  • store credit or another mutually agreed commercial solution

For some industrial products, replacement or repair may be more appropriate than refund, especially in warranty situations.

8. Return Shipping Costs

If the return is approved because the item was:

  • defective,
  • damaged during transit, or
  • incorrectly shipped by us,

we will generally cover reasonable return shipping costs or provide return shipping instructions at our discretion.

If a return is approved for a non-fault reason, such as ordering by mistake or no longer needing the item:

  • return shipping costs are the customer’s responsibility
  • any original shipping charges are non-refundable
  • any additional handling, inspection, or restocking deduction, if applicable and permitted, may be deducted from the refund

9. Orders with Manual Shipping Quotes

For orders that required a manual shipping quote, customers may decline the quoted shipping cost before dispatch and request cancellation.

If payment has already been captured and the order has not shipped, we will process the applicable refund in accordance with this policy.

Once an order has shipped, it is no longer considered an unshipped cancellation request and will instead be handled under the applicable return, delivery, or carrier-related rules.

10. Failed Delivery and Return to Sender

If a shipment is returned because of:

  • an incorrect or incomplete address,
  • recipient refusal,
  • recipient unavailability,
  • failure to cooperate with the carrier or customs, or
  • failure to pay applicable import duties, taxes, or fees,

then any shipping charges, return-to-sender charges, storage fees, customs-related charges, or similar costs may be deducted from any refund where permitted.

If reshipment is requested, additional shipping and handling charges will apply.

11. Damaged, Incorrect, or Missing Items

If your order arrives damaged, incorrect, or incomplete, please contact us promptly and provide clear supporting evidence.

To help us assess the issue, please retain:

  • the delivered product
  • all original packaging
  • packing materials
  • shipping labels
  • photo or video evidence of the condition on arrival

Failure to preserve relevant evidence may affect our ability to process the claim with the carrier or supplier.

12. Limited Warranty

Unless otherwise stated on the relevant product page, quotation, or invoice, many NexsyFlow products may include a 12-month limited warranty covering manufacturing defects under normal intended use.

This limited warranty does not cover:

  • misuse or abuse
  • unauthorized repair or modification
  • improper installation, commissioning, or maintenance
  • damage caused by external electrical, mechanical, or environmental conditions
  • consumables
  • normal wear and tear

Warranty remedies may include, at our discretion:

  • repair
  • replacement
  • refund
  • another commercially reasonable remedy

Warranty claims are handled separately from standard return requests and do not automatically entitle the customer to a refund.

13. Exceptions Required by Law

Nothing in this policy limits any mandatory consumer rights or statutory rights that may apply under the laws of the relevant jurisdiction.
